1. Summary
- The App is free. It contains no advertising and no in-app purchases.
- We do not track you across other apps or websites, and we do not sell or share your personal information with advertisers or data brokers.
- Your sighting records, your notes and any species you add are private to your account and are never shown to other users of the App.
- You can delete your account and all of its data at any time from within the App.
2. Information we collect
2.1 Information you provide
| Information | When we collect it | Why |
|---|---|---|
| Email address | When you create an account, or from Google if you choose "Sign in with Google" | To create and secure your account, to sign you in, and to contact you about your account |
| Name | When you create an account, or from your Google profile | To personalise the App |
| Sighting records (which species you have marked as seen, and the date) | When you tick a species | To build and store your personal checklist |
| Personal notes | When you write a note about a sighting | To store your notes for you |
| Species you add yourself, including a photo you upload | When you use "Add a species you've seen" | To add the species to your own checklist |
| Location coordinates | Only when you tap "Tag my location" while adding a species | To place your sighting on the Explore map |
The App only reads your device location at the moment you tap "Tag my location". It does not access your location in the background, and it never shares your location with other users.
Photos are only accessed when you choose to attach one to a species you add. The App does not scan or read your photo library.

2.3 Information we do NOT collect
We do not collect your contacts, calendar, messages, health or fitness data, financial information, browsing history outside the App, or advertising identifiers. The App does not use the Apple Advertising Identifier (IDFA) or the Android Advertising ID.
3. How we use your information
We use your information to:
- create, secure and operate your account;
- store and display your personal checklist, notes and added species;
- show your sightings in the correct place on the Explore map, if you chose to tag a location;
- respond to your support requests;
- produce internal summary reports about how the checklist is being used, so that we can improve the species list and our tours (see section 5);
- diagnose faults and improve the reliability and performance of the App; and
- comply with our legal obligations.
We do not use your information for automated decision-making that produces legal or similarly significant effects, and we do not use it for advertising.
4. Legal bases (for users in the EU, EEA and UK)
- Contract — creating and operating your account and storing your checklist.
- Legitimate interests — securing the service, diagnosing faults, and producing aggregate insights to improve the App and our tours.
- Consent — accessing your camera, photo library and location. You can withdraw consent at any time in your device settings.
5. Who we share information with
We do not sell your personal information and we do not share it with advertisers or data brokers.
We disclose information to the following categories of recipients:

Internal reporting. Once a month our system generates an internal summary report of species that have been marked as seen and species that users have added, including the sighting dates and any notes recorded against them, and emails it to our own staff address (info@visionwalks.com). This report is used only to maintain and improve the species checklist and our tours. It is not published and is not disclosed outside our organisation.
If you do not want your notes to be included in this internal report, please do not record personal or sensitive information in the notes field, or contact us at info@visionwalks.com.
6. Overseas disclosure
Our platform provider stores and processes data on servers that may be located outside Australia, including in the United States and the European Union. By using the App you acknowledge that your information may be transferred to and stored in those locations, and that we take reasonable steps to ensure it is handled consistently with this Policy.
7. Security
Data is transmitted between the App and our servers using encryption in transit (HTTPS/TLS). Access to your checklist data is restricted at the database level so that only your own account can read or change your records. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Retention
We retain your account information and checklist data for as long as your account exists. When you delete your account, your account record, your sighting progress, your notes, and any species and photos you added are deleted. Aggregated statistics that cannot be linked back to you may be retained.
9. Your rights and choices
You can:
- Access and correct your information — your checklist and notes are visible and editable inside the App at any time.
- Delete your account and all of its data — open the App, tap the round profile button at the top left of the header image (or the Profile tab), then "Delete account". Deletion is immediate and cannot be undone. You may also email info@visionwalks.com from your registered address with the subject "Delete my account"; we will action the request within 30 days.
- Withdraw device permissions — turn off camera, photos or location access for the App at any time in iOS Settings or Android Settings. The App will continue to work; only the related feature will be unavailable.
- Complain — if you believe we have breached the Australian Privacy Principles, contact us at info@visionwalks.com. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (www.oaic.gov.au). Users in the EEA or UK may also complain to their local supervisory authority.
10. Children
The App is not directed at children under 13 and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact info@visionwalks.com and we will delete it.
11. Third-party content
Species photographs are sourced from Wikimedia Commons and are shown with their author and licence information. Map tiles are provided by OpenStreetMap and are attributed within the App. Species descriptions are generated automatically and are provided as general guidance only; they are not scientific advice.
12. Changes to this Policy
We may update this Policy from time to time. The "Last updated" date at the top shows when it was last changed. Material changes will be notified in the App.
